How do I arrange a viewing appointment?

Appointments to view any studio should be emailed to info@conceptlondon.co.uk or you can call our office on +44 20 7229 1011. When requesting an appointment, clients should be as detailed as possible in their requirements. We will need to know:

– your weekly budget,
– your intended move in date
– how many people you require accommodation
– the length of your stay
– which areas you are looking at

What references are required?

Tenants will be required to provide the following references:

– current employer or current university / college acceptance letter
– previous landlord reference
– copy of their passport

Do you offer 3 - 6 month tenancies?

Concept Studio Apartments can offer medium lets (3 – 6 months) at certain times of the year and at selected properties in the portfolio. Medium lets are subject to availability and prices will be quoted upon enquiry.

Do I need to pay a security deposit?

Tenants will be required to pay a security deposit which is held for the full duration of the tenancy. The security deposit required is equivalent to 6 weeks rent.
All security deposits will be registered with the Deposit Protection Service, for further information on the DPS please visit http://www.depositprotection.com/.

Are there any administration fees?

Yes, there is an £100+VAT administration fee which also covers the writing of the inventory report. This is only paid at the beginning of the contract and there are no fees on renewal.

What is the check out procedure?

Once a check out date has been agreed with the managing agent, tenants will be emailed a check out instructions.

On the check out day tenants are required to meet Concept Studio Apartments no later than 18h00 to hand over the apartment keys and do the final studio check out inspection.
The apartment needs to be ready for the check out inspection and the tenant needs to be ready to leave the apartment and hand back the keys.
Tenants wishing to check out on a Sunday or Bank holiday will be charged a £50+VAT check out appointment fee and only if this can be scheduled.
On Saturdays check out is available between 11h00 and 14h00.

If the tenant fails to keep the check out appointment or the appointment needs to be rescheduled because the tenant is not ready to leave or the apartment is not ready for the check out appointment a fee of £50+VAT will be charged against the security deposit.

How do the apartment keys work?

Tenants will be issued with two sets of keys to their apartment. The keys used in our buildings are on a unique security key system and any additional keys can only be cut by an authorised representative.
Lost or stolen keys can be replaced at a cost of £30+VAT per key.
If you lock yourself out or require assistance to gain access to your studio there is a £50+VAT call out charge. Out of hours assistance (18:00 – 08:00), is subject to a member of staff being available.
If keys are not returned upon vacating the studio, the Concept Studio Apartments will replace the locks at a cost of £150+VAT, this will be charged from the tenant’s deposit.

What fire safety precautions are there?

Each studio is fitted with a smoke detector, a heat detector, and an alarm sounder which are connected directly to an electronic fire alarm panel located at the building’s entrance. The fire alarm is maintained by a certified Fire Maintenance Company in accordance with current Health and Safety Regulations.
Fire Doors – All doors within the building are fire proof and self-closing, and should be kept shut at all times in accordance with current Health and Safety Regulations.

What if I need maintenance work carried out?

It is the tenant’s responsibility to maintain the general upkeep of their studio. However any serious maintenance issues should be reported to the Concept Studio Apartments who will make arrangements for the necessary repairs.
Maintenance requests should be emailed to maintenance@conceptlondon.co.uk, Concept Studio Apartments will endeavour to respond to all maintenance requests within 48 hours. Upon check-in tenants are given an emergency mobile contact number for out of hour maintenance emergencies.

Do I need insurance for my personal belongings?

All our buildings are covered by an Insurance Policy which insures against damage to the building resulting from natural disasters and terrorism.The insurance policies do not cover personal possessions and it is recommended that tenants take out their own contents insurance or have travel insurance in place.

What other charges are there?

All international bank transfers will incur a £15 admin fee to cover our surcharges.
All credit card payments will incur a 3% handling fee.

How do I reserve an Apartment (Holding Deposits)?

Once an apartment has been viewed and you wish to reserve the apartment for, you will be required to pay a Holding Deposit equal to two weeks rent. The Holding Deposit will be used as a credit payment towards the 1st month’s rent. Holding Deposits are non-refundable in event of cancellation from the applicant.

What is the Length of Tenancy?

The initial tenancy length is varies from a fixed 6-12 month period. Tenants are required to sign an Assured Shorthold Tenancy Agreement. After the term tenants may request a Renewal Tenancy Agreement. Before issuing a Renewal Tenancy Agreement the Concept Studio Apartments will need to conduct a apartment renewal inspection to confirm that the apartment is being kept in a clean and well maintained condition.(please see renewal tenancy agreements below).

How is rent paid?

Rents are calculated per calendar month (weekly rent multiplied by 52 weeks divided by 12 months).
All rent is paid monthly in advance on the 1st of each calendar month via bank standing order
When a tenancy does not begin on the 1st of a calendar month, the initial rent in advance will be calculated pro rata from the commencement date of the tenancy until the end of the initial month. If a Tenancy begins after the 14th day of the calendar month the rent in advance will be equal to the remaining days of the 1st month of the tenancy plus the 2nd months rent.

Will I be charged a check out cleaning fee?

It is the tenant’s responsibility to ensure the studio is left in a satisfactory condition upon check out. Concept Studio Apartments will arrange for a professional end of tenancy clean, the cost of which is to be deducted from the tenant’s deposit. To avoid additional charges being deducted from the deposit, the tenant will need to:

– clean the shower tray, shower door and toilet bowl on a regular basis with limescale cleaning products to avoid a build up of lime scale
– defrost the fridge/freezer a few days prior departure (do not just switch off on your last day),
– remove any rubbish and items that were not in the apartment,
– not leave any items of furniture, crockery, linen etc that are not part of the inventory,
– wash and tumble dry the mattress protector,
– give the apartment a hover and general clean

Can I extend my stay?

6 weeks prior to a tenancy ending the tenant will be sent an email enquiring whether they wish to request a renewal tenancy agreement or whether they will be vacating on the final day of the initial tenancy agreement.

If a tenant would like to confirm their vacation date or request a renewal tenancy agreement before the final 6 weeks of their tenancy they should email their request to info@conceptlondon.co.uk.

If a tenant confirms that they would like to renew their tenancy Concept Studio Apartments will arrange a renewal apartment inspection to confirm that the apartment is being kept in a clean and well maintained condition.

Once a Renewal Tenancy Agreement has been agreed between the tenant and landlord a renewal contract will be issued. Tenants requiring flexibility can request a Renewal Tenancy Agreement with a 1 months written break clause notice (the landlord company is under no obligation to offer this option). To terminate the Renewal Break Clause Tenancy Agreement before the 6 month end date, tenants will be required to provide at least 1 month’s written notice to the managing agent..

Is there a inventory check in report?

Concept Studio Apartments will prepare and issue each new tenant an Apartment Condition Check-in Inventory Report. The tenant will have 7 working days to go through the report and make any changes or additions. This report will be used as the condition report at the end of the tenancy when the check out inspection takes place.

Are there any laundry facilities?

Nearly all buildings have communal coin-operated laundry machines, charged at the following rates:
Washing costs £3.00 – 4.00 per cycle.
Tumble drying costs £1.00 per 45 minute cycle.

Is smoking allowed?

All our apartments are strictly non smoking. If upon vacating it is evident that tenants have been smoking, management will arrange to have the studio repainted. The cost of repainting will be invoiced against the tenant’s security deposit.

What should I do if my light bulb burns out?

It is your responsibility to change your light bulbs when they need replacing.

Can I watch SKY TV in my apartment?

All of Concept Studio Apartments buildings have a communal SKY TV satellite dish. You will need to have a contract and decoder from SKY TV to receive reception on your TV.
